Review booked meetings, distinguish Meeting Owner from Set By, and filter, arrange or export the list.

Overview

Booked Meetings is the selected client workspace for reviewing meetings that have already been scheduled. The overview shows total meetings, source, upcoming work, active campaigns, missing Set By attribution, and next-week volume. Search, status, campaign, and Set By filters narrow the list. Advanced filters, saved column preferences, sorting, expansion, and CSV export help employees audit the same result set. Meeting Owner shows the assigned meeting owner separately from Set By, which identifies the original meeting setter. Expanding a row shows the exact contact's latest calls, notes, updates, reminders, and valid sent email activity from campaign and mailbox sources inside the selected client.

How to use this page

  1. Open the selected client's meetings

    Open Meetings > Booked Meetings and confirm the selected client. Industry appears after Company in the standard table, with Not listed when the contact has no saved value. Employees can also use Add Meeting and Export CSV. The overview shows the current result count and meeting scope.

  2. Filter the list

    Use Search, All Statuses, All Campaigns, and All Setters for the main view. Select Filters for advanced contact, company, setter, campaign, date, meeting, activity, call, email, cadence, and custom-field conditions. Active filter chips can be removed individually, and Clear all resets the advanced filter set.

  3. Record a client meeting outcome when granted

    A granted client member sees Meeting Set as the current status, then can choose Prospect Cancelled, Meeting Held, Win, Meeting Held, Unqualified, Reschedule, or Client Handled. The control is available only while the record is Meeting Set and becomes read-only after the outcome is saved. Other client members remain read-only.

  4. Save and reuse filter rules

    Employees can open Filters, add meeting-property rules, and select a saved filter when available. Choose Save changes to replace the selected filter or Save new filter to create another reusable set.

  5. Review activity and recordings

    Expand a row to read the unified Activity timeline. Sent campaign, responder, and Inbox messages linked to the exact contact within the selected client appear as Sent email, and a synchronized email recorded in more than one source appears once. Calls, notes, follow-up updates, and reminder events remain in the same date-grouped timeline. When a saved recording is available, use the inline player in the Recording column. For older migrated calls, the activity names the recovered caller only when exact evidence exists. Otherwise it shows Caller not recorded. Technical migration-only notes stay hidden because they are not meeting context.

  6. Add or update meeting notes

    Scroll to the rightmost Notes column, enter up to 5,000 characters, then leave the field. SalesHive trims the value, saves it automatically, and shows Saving, Saved, or Not saved. Manual notes and feedback submitted through the meeting outcome email use this same field, so the latest shared context stays in one place.

  7. Call and manage follow-ups

    Employees can select rows or use a row Call button when a campaign is available. Bulk calls are grouped by campaign. Authorized employees can edit the next reschedule follow-up date.

  8. Arrange and export the table

    Choose Columns to show, hide, reorder or reset the supported fields. Meeting Owner appears after Meeting Date by default, including when an older saved layout first receives the column. It shows the assigned name or Unassigned. Select a column heading to sort when supported. Export CSV downloads the current filtered results; adding Meeting Owner to the table does not add an owner export field or filter.

  9. Open a meeting record

    Select a contact name to open Contact Detail or select View to open Meeting Detail. Employees can use Edit when authorized or Add Meeting for a manual booking.

  10. Record a closed sales outcome

    Authorized employees can choose Closed Won when the sales opportunity is won or Closed Lost when it is lost. Both are final meeting outcomes, remain in meeting history, and count as held outcomes in meeting analytics. They stop pending meeting work and cold outreach. Mark No Show is unavailable for these completed outcomes. Existing client outcome permissions and one-way Meeting Set choices remain unchanged.

What the buttons do

Status
Employees can use the full meeting status list. An exactly granted client member gets only the bounded outcome choices for a current Meeting Set.
Filters
Opens advanced meeting-property filters.
Campaign
Searches and selects one or more compatible campaign scopes.
Export CSV
Downloads the employee-visible meeting list using current filters and campaigns, including Discovery when available.
Select all meetings
Selects meetings in the visible result set for employee bulk actions.
Call in campaign
Opens a campaign-scoped follow-up dialer for selected records resolved to that campaign.
Column grip / Reset columns
Reorders the employee table or restores its standard layout, including Industry after Company.
Row chevron
Expands or collapses the exact contact's unified Activity timeline, including valid sent campaign, responder, and Inbox email activity.
Recording player
Plays a saved meeting recording inline when one is available.
+ Add Meeting
Opens the authorized employee manual meeting form.
Notes
Edits the shared meeting notes field and saves when focus leaves the field. Active client users can update Notes without receiving access to other meeting fields.
Closed Won / Closed Lost
Employee meeting status choices for a completed sales opportunity. These final outcomes do not add new client editing permissions.

Common questions

SalesHive adds the new Industry column once after Company in older saved employee layouts. Reorder it if needed, and the updated order is saved. Reset columns places it after Company again.
The contact does not currently have a saved Industry value. The meeting is still available and all other meeting fields continue to work normally.
Any active client user for the selected deal can edit only the rightmost Notes field. Changing a Meeting Set outcome still requires the exact meeting-outcome grant. That grant does not add meeting creation, deletion, export, bulk actions, reminders, reschedule review, owner, date, source, or other editing.
The client control is deliberately one-way from Meeting Set to an allowed outcome. After the outcome is saved, the new status is shown read-only.
Yes. Employee meeting exports include the contact's Discovery field when it is stored.
The meeting needs a saved recording URL. Booking-call matches use the platform recording link, while older saved recordings can use their legacy playback path.
No. Clients see the shared meeting layout without employee reorder or export controls. A meeting-outcome grant changes only the bounded status control.
Authorized employees can edit the next reschedule follow-up in the table. Follow-ups remains the canonical worklist for working the reschedule.
They save when you leave the Notes field. The row shows Saving, Saved, or Not saved. Notes accept up to 5,000 characters, and a failed save leaves the current draft visible so you can retry.
No. Outcome feedback and inline notes use the same meeting notes field, so Booked Meetings shows the shared current value.
The older migrated call has no reliable caller evidence. SalesHive does not label the client strategist or another placeholder as the caller. If an exact SDR is recovered, the name appears. Otherwise the row stays honestly unattributed, and technical migration-only notes remain hidden.
Meeting Owner shows the assigned meeting owner, or Unassigned when none is saved. Set By identifies the original meeting setter. The existing Set By filters, overview and CSV attribution remain unchanged; this release adds the owner to the table only.
Set By is the original meeting setter attribution. It appears in the overview, main filter, table, advanced filters and CSV export. Meeting Owner is a separate table field for the assigned meeting owner.
